Body Challenge Privacy Policy

Information we collect

We collect account and contact information, challenge registration and enrollment details, class attendance, goals, weigh-ins and body-composition measurements, progress photos you or a coach upload, nutrition questionnaire answers, food logs, messages to coaches, community display names and posts, and technical records needed to operate and secure the dashboard.

Some membership and attendance information comes from our existing Glofox membership system. Staff enter Body Challenge weigh-ins manually, including weight and the full measurements collected with Seung-ni's handheld analyzer at scheduled check-ins.

Account records can include your date of birth, membership phone number, profile picture, enrollment and payment status, and account identifiers. Optional nutrition answers can include health conditions, pregnancy or breastfeeding information, allergies, and dietary preferences. Community features store buddy requests and connections, private messages, reports, blocks, and read status. Notification features store your preferences, device push token, notification history, and delivery or error records. We do not read your phone's address book or personal SMS inbox.

Optional Apple Health and Health Connect connections

On supported app versions, you may allow read-only access to workouts and active energy through Apple Health on iPhone or Health Connect on Android. For Health Connect, this means exercise sessions and active calories burned, plus optional access to older workout history. We do not request permission to write health data or read it while the Android app is closed. We import only summaries that overlap your attended Body Challenge classes: workout identifier, date, duration, estimated active calories, activity type, and recording source. Unrelated workouts, heart rate, routes, and daily energy totals are not uploaded. Imported summaries are stored in your protected Body Challenge account using Supabase, not iCloud, and are not sent to AI providers, advertisers, or marketing systems. They do not change nutrition targets, attendance credit, or refund eligibility.

Sharing is off by default. You may separately allow your authorized coaching team to see matched class summaries across your challenges, and choose accepted buddies to see summaries for the current challenge. Buddy sharing includes future synced classes in that challenge. Turning sharing off stops access; removing or blocking a buddy also clears that sharing choice. Information already seen or copied cannot be recalled.

In your profile settings, open Apple Health or Health Connect to disconnect and erase that connection’s imported workout summaries immediately. If another health connection remains active, its imports and your sharing choices remain; disconnecting both clears sharing choices. This does not erase original health records. You may also revoke access in Apple Health or Health Connect settings. Account deletion removes imported health records. Health Connect data is used only for the class-workout features you request, in accordance with Google’s Health Connect permissions policy, including Limited Use requirements. Without access or a recorded workout, calories are unavailable rather than assumed to be zero.

How we use information

We use this information to administer the Midland Body Challenge, confirm and manage dashboard access, show progress, calculate eligibility, prepare and deliver nutrition plans, provide coaching, show upcoming classes, support community features, secure accounts, troubleshoot problems, and meet legal and business record obligations.

Nutrition and automated processing

Only after an adult participant explicitly allows AI-assisted nutrition in the Nutrition screen may a coach use the dashboard to send limited questionnaire information to OpenAI to prepare a private meal-plan draft. This can include calorie and macro targets calculated from a confirmed weigh-in or clearly labeled coach estimates, eating preferences, allergies, foods to avoid, schedule and cooking context, and GLP-1 nutrition or tolerance notes. We exclude names, email addresses, member IDs, photos, and medication names. A coach reviews every draft before it can appear in a participant profile. Food nutrient calculations use USDA FoodData Central.

AI permission is optional and can be withdrawn on the Nutrition screen. Withdrawing stops future AI requests; it cannot undo information already sent. Existing plans, food tracking, and the included nutrition guide remain available without permission. Ask your coach about preparing a plan without AI.

With that same permission, shopping-list generation can send the ingredients and quantities from your approved plan to OpenAI to organize the items you need to buy. Generated plans and lists are saved in your app account. Some background generation requests also use provider-side response storage while the app retrieves the result; we do not promise that every request is processed without storage. OpenAI's API retention and data-use policies also apply.

Food lookup uses USDA FoodData Central and Open Food Facts. Search terms and product barcodes are sent to food-data providers without your participant account identifiers. Barcode scanning uses camera access when you choose to scan; camera permission is optional, and you can search or enter food manually.

Who can see information

Participants can see their own challenge details, weigh-ins, and past results after signing in. Custom nutrition, upcoming classmates, community posts, and coach chat become available seven days before an enrolled Body Challenge begins and remain available through its final day. Authorized Seung-ni Midland staff and coaches can see the records needed to operate the challenge. During this access period, other challengers see only an opted-in display name, community posts, and classmate information associated with upcoming shared classes.

Participants may report a community post to authorized coaches and hide another participant’s board posts. Reports include the selected reason, an optional note, the reported post, and the reporting account so staff can investigate misuse. The author of the reported post is not shown who submitted the report.

When you enable challenger discovery, other eligible challengers can find your display name and available profile picture and request a buddy connection. Private buddy messaging requires an accepted request. You can change discovery preferences and block or report a buddy. Reporting a conversation shares the reported content with authorized staff for moderation. Private coach chats are available to you and authorized coaches.

Service providers and sharing

We use Glofox for membership operations, Supabase for authentication and protected data storage, OpenAI for nutrition drafts and shopping lists, USDA FoodData Central and Open Food Facts for food nutrition data, and hosting providers needed to deliver the app. Apple Push Notification service and, on supported Android devices, Firebase Cloud Messaging deliver notifications using device tokens and notification content. Microsoft's email services deliver account and coaching notifications to your email address. We do not sell personal information or use Body Challenge health information for third-party advertising or cross-app advertising tracking.

Security and retention

We use account authentication, access controls, private storage, encrypted network connections, and limited staff permissions. No system can guarantee absolute security. We retain Body Challenge dashboard information, including progress photos, until the participant asks us to delete it. After a verified request, we delete or anonymize eligible information within 30 days. We may retain records that are required for legal, payment, safety, or dispute purposes.

Your choices

Community participation is optional. You may review your profile, correct information through your coach, request a copy of your information, or request account and dashboard-data deletion. Submitting a deletion request immediately removes your community display name and public community posts while the rest of the request is reviewed. Some records may be retained when required by law or for the purposes listed above.

You can change notification preferences in the app and manage camera and notification permissions in your device settings. Shopping-list sharing opens your device's share options, mail app, or messaging app; you choose the destination and whether to send it.

Adults and health information

The custom nutrition feature is available only to adults age 18 and older. Nutrition plans are educational coaching tools and are not medical care. Participants who are pregnant or breastfeeding, have diabetes, kidney disease, an eating-disorder history, or another clinical concern are placed on a professional-review hold.
